How to Configure Microsoft Teams Meeting Policies

Teams meeting policies control what participants can do in meetings - whether guests bypass the lobby, whether recordings can be made, and who can share screens. Getting these right matters for both security and compliance.
Edit the global policy
Teams admin centre → Meetings → Meeting policies → Global (Org-wide default) → Edit

Q: Can guests be prevented from joining?
Yes. In Teams admin centre under External access you can block all external users. Use lobby settings for granular control.
Q: Where are Teams recordings stored?
Non-channel recordings go to the organiser OneDrive in a Recordings folder. Channel recordings go to SharePoint.
Q: Can I stop external users downloading recordings?
Yes. Set sharing permissions on the recording to not allow downloading for external users.
